- $520 - $600 per day + Super
Our client is a leading global consulting firm specializing in talent, health, retirement, and investment, with a strong presence in superannuation (retirement savings) both in Australia and globally.
The role:
The Executive Assistant provides support to the Chief Risk and Compliance Officer for the Pacific’s Operations function. The EA must demonstrate proactivity, be a role model for professionalism and enjoy working as part of a team of executive assistants.
Responsibilities may include but are not limited to:
- Proactively assess and/or anticipate Executive needs with explicit direction and take appropriate action
- Schedule meetings with internal stakeholders, team members, external clients and external associations, responding to invitations and suggesting appropriate times and prepare relevant pre-reads
- Co-ordinate large meetings and events (leadership forums, working groups, town halls, networking events)
- Actively respond to emails on the behalf of the executive, identify and flag important deliverable dates/information in emails, or take urgent action as required
- Answer phone calls, filtering and responding to each inquiry as appropriate
- Keep track of meetings (client, contact, and colleague) noting/communicating when the next meeting is to occur or next deadline is due
- Proactively arrange gifts/flowers for colleagues, clients and stakeholders as relevant
- Proof-read, format and send communications
- Maintain general documents, channels and softwares (organisation charts, biographies etc.) and share with relevant stakeholders
- Coordinate agenda, guests and pre-reads of weekly leadership meetings
- Travel coordination including air, hotel, ground transport, event venues and visas within policy guidelines and to Executive preferences
- Reconcile expenses/ Payment of vendor invoices
- Book and prepare conference rooms, catering, services for each meeting
- Project coordination for projects owned by the Executive
- Create and format documents within Microsoft Suite for an executive audience/clients
- At least 5 years’ experience – prior reporting to an Executive Director
- Demonstrated experience in managing multiple high priorities with varying deadlines
- Excellent verbal and written communication skills
- Exceptional organisational skills
- Demonstrated stakeholder management capabilities
- Proven experience working collaboratively and effectively with a range of internal and external stakeholders.
- Strong team player
- Initiative and enthusiasm with the ability to learn new tasks quickly
- Advanced skills in Microsoft suite of applications (Outlook, PowerPoint, Word, MS Teams and Excel)
