Role Overview: Provides an effective and efficient customer focused general administrative support and clerical service across the Division allowing operational staff to focus on non-administrative functions.
Key Responsibilities;
- Word processing, including basic document control support, i.e. formatting of documents
- Data entry
- Sorting and distributing correspondence, documents and files
- Preparing, copying, and collating/binding materials for distribution
- Processing incoming and outgoing mail
- Conducts general housekeeping activities, such as ensuring photocopying, conference/meeting rooms, stationery cupboard and kitchens are tidy and adequately stocked.
- Maintains stationery, kitchen and office supplies
- Attends to and receives visitors for the area, i.e. collecting attendees for interviews.
- Attends to telephone calls
- Processing of direct Purchase order Requests
- Processing and coding of suppliers’ invoices
- Participates as a constructive member of the Business Support Branch Administration
- Provides cover for the Administrative Officer roles as required.
- Undertakes other duties as required.
- Carries out, as required, such tasks and functions that are within the limits of the employee’s skills, competence and training.
- Undertakes duties in a manner that supports a safe workplace.
- Contributes to continuous improvement with administrative processes across the Network and Infrastructure Division by identifying and recommending improvements.
- Maintains confidentiality and utilises discretion.
Essential to be successful in this role:
- Good communication skills (verbal and written), including the ability to liaise effectively with people at all levels.
- Ability to work autonomously and within a team environment.
- Good planning and organisational skills.
- Ability to use appropriate computer software package including word processing skills, Microsoft Office Suite and Database applications.
- Provision of a current National Police Clearance certificate, dated 3 months or less from the date of application for this position.
