FUNCTIONS OFFICER - PART-TIME (2 DAYS PER WEEK) - CLOVERDALE LOCATION
We are currently looking for an experienced Functions Officer for a part-time immediate start assignment with City of Belmont.
Rate: $50.00 per hour plus Super (includes casual loading)
Duration: 2.5 months
Start: ASAP until 2 May 2025 (approx.)
Location: Cloverdale
Hours: Part-time – 2 days with potential for more hours
Days: Monday & Wednesdays not negotiable at 7.5hrs per day. Additional hours maybe available during this period.

DUTIES:
- Supervise catering contractors, ensuring contract compliance and providing input on tenders.
- Oversee Food & Beverage staff, including rostering and staffing requirements.
- Advise on civic and corporate function arrangements, ensuring compliance with protocols and risk assessments.
- Manage minor procurements for events, marketing, and merchandise needs.
- Administer the Functions Team budget, tracking costs and reporting variations.
- Coordinate Civic Centre room bookings, catering, and setup for meetings and events.
- Develop performance indicators for civic functions and provide reports on event effectiveness.
- Maintain stakeholder relationships and ensure strong internal and external engagement.
- Oversee stock management for food, beverages, promotional items, and event materials.
- Maintain function-related equipment, coordinating repairs or replacements as needed.
- Qualification or progress towards one in Hospitality, Event Management, Administration, or equivalent experience.
- Experience coordinating small to large events in hospitality or functions.
- Strong interpersonal and conflict resolution skills to build and maintain effective partnerships.
- Ability to supervise staff and ensure high-quality service delivery.
- Excellent organizational skills to manage multiple projects, meet deadlines, and ensure attention to detail.
- Strong communication skills, including report writing, stakeholder liaison, and meeting facilitation.
- Experience in developing and improving workplace processes and procedures.
- Ability to work independently and collaboratively within a team.
- Understanding of Work Health & Safety requirements and ability to obtain necessary certifications (e.g., White Card).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Possession of, or ability to acquire, a Responsible Service of Alcohol Certificate.
- Current Food Supervisors Certificate (SITSS00069) (NON-NEGOTIABLE)
- Must be available Monday and Wednesdays for 7.5 hours
- National Police Clearance dated within the last (12) twelve months
- Full working rights within Australia
