Job description

Job Title: Executive Support Officer
Employer: DFP Recruitment Client - State Government
Position Type: 2 month Approx Casual Temporary Contract – ASAP start!
Pay Rate: Approx $38 - 46 per hour + Super
Location: Perth, WA 6000
Key Responsibilities;
  • Coordinates travel arrangements, scheduling, communications, reporting and correspondence.
  • Performs information gathering, research, preparation and coordination in relation to queries, papers, briefings, events, meetings relevant to the Business Unit.
  • Prepares responses to routine queries on behalf of the client or Business Unit, escalating or referring queries for response as appropriate.
  • Understands the outcomes of the business unit, key deliverables and projects, in order to assist in the planning, delivery, monitoring and promotion of work plans and the work area.
  • Proactively deals with sensitive issues with stakeholders on behalf of the client, ensuring these are acknowledged and addressed in a timely manner.
  • Coordinates systems, processes, monitoring and provision of effective administrative, financial and recordkeeping supports to the client and Business Unit. Ensuring compliance with departmental, policies, standards and procedures.
  • Coordinates scheduling and effective management of the preparation of ministerials, briefing notes, papers and other correspondence within required timeframes.
  • Provides administrative support to committees, working groups, and Directors’ meetings as required.
  • Updates relevant materials and internal documentation such as T-Net pages, reference guides, procedural manuals, and contact lists relevant to the business unit or work area.
  • Other duties as required.
 
Essential to be successful in this role:  
  • Current valid NPC or ability to obtain one
  • Experience in providing executive and administrative support, and discretely dealing with confidential and sensitive information.
  • Demonstrated ability to plan and coordinate multiple priorities and meet required deadlines.
  • Demonstrated experience in the use of Word, Outlook, Excel and the capacity to use and learn other applications and systems.
  • Desirable Government experience
  • Communicates information in a clear and effective manner
