Job description

We are looking for an experienced Contract Administration Assistant to join one of our government clients based in East Perth. This role will be working Full-time on an initial 6-month assignment with view of extension.

About the Role

Provide essential support to the Contract Manager in the day-to-day management of contracts, including assisting with the execution of maintenance projects and related administrative processes.

Duties include;
• Collaborate with Contract Managers to ensure accurate financial reporting, including the processing of monthly accruals.
• Manage the entry of purchase details for items acquired through purchase orders and credit cards.
• Deliver administrative assistance to the Maintenance Delivery team, handling tasks such as scanning, validating, and processing documentation required for contractor claims and invoice payments, as well as supporting monthly contract claim procedures.
• Perform self-audits and compile reports to ensure the accuracy and compliance of Contractual Claims and Performance Tracking systems.
• Contribute to the preparation of reports on contractor performance, supporting management in decision-making.
• Assist in tracking key milestones in contracting and procurement processes, ensuring timely progress.
• Generate and customise reports from spreadsheets to provide data for internal use, corporate reporting, and responses to inquiries.
• Identify and recommend improvements to existing systems and processes related to the management of maintenance contracts.

About You

Essential:
• Demonstrated experience in administrative roles, particularly in managing service engagements.
• Strong communication and interpersonal skills.
• Highly organised, with the capability to handle multiple tasks and meet deadlines.
• Proficient in Microsoft Office, especially Excel with a strong aptitude for managing and maintaining spreadsheets.
• Experienced in data collection, analysis, and management.
• Current Driver's License.
• Current National Police Check (within the last three months)

Desirable:
• A qualification in Contracts Administration.
• Experience in drafting reports and conducting analytical assessments.
