APS 4 and APS 5 Ministerial Parliamentary Officer
  • APS 4 $43.82 / APS 5 $55.24 Hourly Rate / + Super
  • Deakin, ACT
  • 12-month contract (possible extension)
About the client
The Parliamentary and Ministerial teams work as one section to support the interrelated functions of the Agency. The position will develop a sound understanding of the work of the section and have the capacity to work flexibly across both teams.

Duties of APS 4
  • Assisting with the coordination of parliamentary processes including appearances at senate estimates, committee hearings and Questions on Notice.
  • Managing a shared mailbox including allocating tasks.
  • Coordinating and tracking Questions on Notice and senate briefs using Parliamentary Document Management System (PDMS).
  • Coordinating, drafting and quality checking Briefs, Ministerial Correspondence, Questions on Notice and Senate Briefs using the Parliamentary Document Management System (PDMS).
  • Contributing to the branch’s corporate work program, reporting requirements and assist deliver branch governance obligations.
Duties of APS 5
  • Proofing and editing ministerial correspondence, submissions and briefs prior to ministerial consideration to ensure they meet ministerial requirements for style, preferences and content.
  • Monitoring, collating, reporting and communicating feedback from the quality assurance process drafting and clearing officers to build the ministerial writing capability.
  • Coordinating Community of Practices to build capability and internal stakeholder confidence with ministerial and parliamentary practices.
  • Coordinating and drafting input from across to develop reports and input to portfolio responses.
  • Coordinating, drafting and quality checking Briefs, Ministerial Correspondence, Questions on Notice and Senate Briefs using the Parliamentary Document Management System (PDMS).
  • Contributing to the branch’s corporate work program, reporting requirements and assist deliver branch governance obligations.
Key Skills
  • High-level organisational and planning skills and attention to detail with demonstrated experience managing competing priorities, meeting deadlines within short timeframes and working independently and as a member of a team in a high-pressure environment.
  • Possess the ability to quickly acquire knowledge of ICT systems and familiarise yourself with new concepts and technologies to deliver high level support.
Essential Skills
  • Demonstrated experience in effective people skills and the ability to engage authentically with stakeholders.
  • Strong expertise in using Microsoft Office, particularly Word, Excel, Project and Outlook and Parliamentary Document Management System.
  • Baseline security clearance would be desirable. Similarly, Worker Screening Check is not required but could be beneficial if they have a Working with Vulnerable People registration.
