Key Responsibilities:
- Provides confidential administrative support to the CIO in matters relating to the operation of the IT division.
- Arranges and maintains a schedule of appointments, meetings and other commitments for the CIO.
- Maintains a diary of commitments and reminds the CIO of actions required; undertakes follow-up with staff and stakeholders to ensure commitments are met.
- Compiles and collates files, papers and other information to assist the CIO with meeting preparation and planning.
- Receives and screens visitors and phone calls and redirects to other staff as appropriate.
- Assists with the preparation of itineraries and arranges travel bookings for the CIO and IT leadership team.
- Coordinates formal and informal meetings as requested, including preparation and presentation of agenda items and minutes.
- Manages office administrative tasks as appropriate.
- Ensures that corporate records are created, stored and maintained in compliance with the State Records Act and organisational policy.
- Assists with staff orientation.
- Provides reception & switchboard coverage in the absence of regular staff.
- Monitors staff resource needs and assists with resource planning.
- Maintains work instructions relevant to the role.
- Provides other administrative support and general office management duties as directed by the CIO or line manager.
Essential to be successful in the role:
- Demonstrated experience or competence in similar or equivalent roles.
- Excellent interpersonal and communication skills (written and verbal), with the ability to liaise with senior stakeholders and maintain positive customer relationships.
- Strong organisational, administrative and time management skills.
- Current valid NPC or ability to obtain one
- Strong MS Office skills
